Job Description

The Executive Assistant Lead provides expert administrative and project management support for the Chief Executive Officer (CEO) and Chief of Staff. Manages a wide variety of support assignments, some independently, of a large scope, high impact, confidential and complex nature. Maintains calendars and coordinate meetings to ensure the most efficient and effective use of the CEO's time. Composes, reviews, and prepares correspondences/presentations accurately and in a timely manner. Compiles and maintains data/documentation to ensure availability of complete, accurate and current information.

Job Responsibilities

  • Oversees and assists team members in assigned functional area, which may include but not limited to, ensuring team is meeting key-deliverables and quality standards, addressing and resolving challenges, managing and tracking performance, and assisting in time management and scheduling; escalates issues to senior leaders as needed.
  • Acts as a Liaison with the Board of Directors, physician/community leaders, professional healthcare organizations and senior executives in a timely and confidential manner.
  • Screens visitors, calls, requests and inquiries; Organizes and expedites the flow of work through the Executive Office and the organization; Provides general project management support for department strategic priorities.
  • Facilitates and executes preparations for meetings including agenda items and technology set-up readiness.
  • Manages the Chief Executive Officer's and Chief of Staff's calendar by scheduling and confirming appointments; Coordinates internal/external meeting arrangements such as invitation/registration process, facilities, catering/logistics, travel and hotel arrangements as needed.
  • Consistently displays the highest level of sensitivity to organizational issues and trends due to the nature of interactions - particularly with external contacts; Exercises confidentiality and discretion in all matters.
  • Prepares, edits and proofreads letters, memoranda and presentations - often of a complex and confidential nature.
  • Instructs, trains and delegates tasks to other clerical and administrative team members.
  • May perform additional duties as assigned.


Minimum Qualifications

Experience - 5 years of experience directly supporting a senior level executive and 2 years of experience directly supervising administrative staff.

Education - High School diploma or equivalent

Preferred Qualifications

Experience supporting CEO or C-Suite Executives

Healthcare or Hospital experience is preferred
