POSITION SUMMARY:

The Manager, Business Operations will report to the Executive Operations, Chief of Staff (COS) and will play a key role in supporting communications, projects, and operations for the Office of the Chief Operating and Financial Officer (COFO).

The Manager, Business Operations will play a critical role in overseeing and managing special projects within the Foundation. They will be responsible for planning, implementing, and executing a wide range of initiatives that align with our strategic goals and objectives. This individual is a big picture thinker, researcher, planner, and self-starter with strong project management, document development, project planning, meeting facilitation, and organizational skills. This individual has strong executive communication skills, including strong attention to detail, and the ability to work cross-functionally with various teams and stakeholders. The position requires particular flexibility, dependability, confidentiality, and willingness to work on a range of projects and topical areas. This is a hybrid role based in Bethesda, MD, and requires 2-3 days per week in the Bethesda office.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Communications

  • Implements and refines our internal communications plans for the COFO Office departments. This includes, but is not limited to developing content such as emails, newsletters, and facilitating town halls.

  • Keeps abreast of Foundation initiatives, projects and core activities and distills information for different audiences; sharing through different communication channels.

  • Drafts executive communications for the COFO office, including communications to the board of trustees, letters/emails from the COFO, presentations, memos, and talking points for speaking engagements.

  • Provides writing and presentation support as needed to BSG, Field and Fundraising leadership, including but not limited to drafting memos, emails, meeting materials, presentations, training documents, articles, and process maps.

Operations

  • Manages day-to-day operations including implementing project plans, managing meeting logistics, and overseeing system and records maintenance.

  • Develops, edits and reviews templates, agendas, minutes, presentations, reports, dashboards, memos and other materials.

  • Shares best practices and lessons learned across the organization to inform our operations within and across other teams.

  • Supports the COS with staffing tasks as needed, in close collaboration with the BSG HR Business Partner.

  • Other duties as assigned.

Initiatives

  • Supports the COS with strategic initiatives including identifying needs, facilitating conversations, driving alignment, project management, and change management.

  • Supports and manages staff engagement initiatives within BSG to build cohesion within and across the departments to drive staff engagement, coordinating closely with the BSG HR Business Partner.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  • Bachelor's degree in business administration or related field required.

  • Minimum six (6) years of relevant professional work experience.

  • Project management and change management experience required; certifications a plus. Strong knowledge of project and change management methodologies and tools.

  • Exceptional written and verbal communication skills; ability to communicate effectively with all levels of staff throughout the organization.

  • Experience with writing emails, newsletters, letters, and policies required.

  • Experience with developing agendas, meeting programs, and presentations required. Excellent data visualization skills.

  • Superb time management and organization skills including the ability to handle multiple tasks, prioritize and keep organized to ensure timely and accurate work. Keen attention to detail required.

  • Ability to work independently.

  • Ability to thrive in a fast-paced, dynamic environment, adapting to changing priorities and deadlines.

  • Proficiency in Microsoft Office suite (Excel, Word, PowerPoint, Teams) and Adobe.

REPORTING RELATIONSHIPS:

  • Reports to the Executive Operations, Chief of Staff. No direct reports.

WORKING CONDITIONS:

  • Normal office environment with little exposure to excessive noise, dust, and temperature.

  • No heavy lifting required.

  • Minimal travel (e.g., 4x/yr.) to conferences and meetings, as necessary.
