Description/Job Summary

The Assistant Controller/Assistant Director is responsible for providing high-level support in the management of ASHP's accounting and financial activities which includes ensuring all accounting practices are in compliance with established accounting principles, working with Office of Finance (OF) team to create internal controls and policies, collaborating with OF and Information Technology (IT) teams to maintain financial records and system processes and preparing internal financial statements. This position also oversees the daily work operations of ASHP's accounts payable team.

This position will be based onsite in our Bethesda, MD office, and the employee in this role will be working in a hybrid environment, consistent with Association-wide ASHP policies applicable to HQ-based employees. What You'll Be Doing:

  • Recommends and executes OF work goals and strategies. Champions and monitors the annual goals of the team.
  • Recommends and executes policies, practices and procedures for the OF. Recommends staffing levels and organization structure for the OF. Participates in the employee training and staff development of subordinate employees and recommends personnel actions for employees. Responsible for setting employee performance goals, conducting performance reviews and recommending pay actions for direct reports.
  • Assists in the day-to-day operations of ASHP's and affiliated organizations' accounting functions. . Reviews and approves cash disbursements and internal accounting control procedures for ASHP and affiliated organizations.
  • Monitors activity and prepares financial reports for the Political Action Committee and other affiliated organizations.
  • Develops, initiates, and implements improvements to ASHP's accounting/financial systems. Acts as liaison between the OF and IT on system matters.
  • Assists the Controller and Financial/Budget Analyst in preparing annual budget.
  • Assists in the preparation of various financial reports and analyses for management and the Board of Directors. Prepares monthly supplemental financial reports for distribution to budget owners.
  • . Assists in the management and monitoring of accounts receivable.
  • Coordinates monthly closing schedules for general ledger, accounts payable, and accounts receivable functions.
  • Sets up products in Association Management System.
  • Monitors and reviews product line financial transactions.
  • Monitors state sales tax requirements and calculates all tax payments.
  • Assists in preparing schedules and reports for the year-end audit. Serves as liaison between auditor and OFto ensure the requested information is prepared and delivered accurately and timely. Assists in preparing ASHP tax returns.

  • Manages relationship with ASHP's banking partner.
  • Directly supervises the ASHP Accounts Payable Supervisor and the Accounts Payable and Administrative Assistant.
  • Performs other duties as assigned.

What You Bring to ASHP:

  • Degree in accounting or finance.
  • CPA, CMA, and/or MBA preferred.
  • Requires a minimum of five years' of experience as an Assistant Controller, Accounting Manager, or similar position.
  • Previous experience with non-profit organizations preferred.
  • Proven effective supervisory experience.
  • Knowledge of finance, accounting, budgeting and cost control standards including Generally Accepted Accounting Principles.
  • Knowledge of federal and state financial regulations and non-profit tax filings, including forms 990 and 990-T.
  • Ability to analyze financial data and prepare financial reports, statements and projections.
  • Work requires professional written, verbal and interpersonal communication skills.
  • Ability to motivate teams to produce quality materials within tight timeframes and simultaneously manage multiple projects.
  • Comfortable working as a collaborative business partner with ASHP staff.
  • Highly proficient in Microsoft Office.
  • Minimum of five years financial system management experience Familiarity with accounts payable systems such as Nexus, Concur, Anybill, etc. preferred.
