About the Position

The Grants Manager will support the administration of the Environment Program's grants and contracts, administer the Environment Program's grants and administrative budgets, and work with Foundation and external partners to improve operational systems and processes.

Responsibilities

Grants Administration

  • Environment Program Budgets: The Grants Manager will track the Environment Program grant budget (in excess of $100 million annually), the pipeline for upcoming grants as well as the administrative budget. Additionally, the grants manager will support Program Officers in performing budget and audit analyses for new grant requests.
  • Help foster relationships with grantees, potential grantees, and other partners: This will include assisting Program Officers in performing due diligence on proposals, with particular attention to Forms 990, budgets and budget projections. In addition, the Grants Manager will represent the Environment program's interests related to broader organizational operations and systems for grant management, in particular. The Grants Manager will also continue to build new relationships with a broad network of other partners who can leverage the foundation's goals.
  • Manage approval process: The Grants Manager is responsible for moving items forward for approval, tracking the items through the approval process, and finalizing agreements. This involves working closely with multiple departments within the foundation.
  • Manage support staff: The Grants Manager will manage Environment Program support staff, who are responsible for: 1) working with grantees and Program Officers in developing grants; 2) helping Program Officers manage grants throughout the grant life cycle; 3) coordinating events/meetings; and 4) assisting with other special projects as requested.
  • Coordinate Reporting: This role is responsible for developing reports for Environment Committee meetings, managing Committee grant approvals, providing grant and financial reports for foundation board packets, various WFF shared goals and operational reports as requested.
  • Payment Approvals and Processing: The Grants Manager will work closely with Accounts Payable to ensure proper coding of all Environment Program payments, obtain appropriate payment approvals, and process and track all invoices for consultants.

Support Environment Program Leadership

  • Environment Leadership Team: The Grants Manager will be an active participant on the Environment Program's Leadership Team, always looking for ways to improve processes and provide data and other information to help with decision making and reporting.
  • Provide Support for Director and Deputy Director: This will include providing reports and other data on all aspects of the Environment Program's grantmaking, including year over year comparisons. The Grant Manager is expected to analyze and summarize data, and make recommendations to inform programmatic management and decision-making.
  • Annual Budget Process: Work closely with the Director and Deputy Director in the preparation of grant and administrative budgets. The Grants Manager will also prepare an Administrative Budget Variance Report monthly to help the Environment Leadership Team manage their budget.

Collaboration Across the Foundation

  • Organizational Liaison: Serve as principal relationship manager with Technology, Accounting, Accounts Payable, Grants Administration and other operational departments to improve and coordinate systems.
  • Effective Grantmaking Advisory Group: Be an active participant on the Effective Grantmaking Advisory Group by providing input for proposed process improvements, and participate in the full process from development to testing to implementation.
  • Cross-Foundation Process Improvements: Work closely with Legal, Grants Admin and Grants Managers from other program areas and departments to establish processes for unique grantmaking situations and automate processes in the Grants Management System. This will include active participation in identifying needed processes, developing an approach, preparing a proposal, coordinating with the Grants Admin Director and SmartSimple Implementation team, testing, implementation and rollout.
Qualifications

Qualifications required for your success

  • A bachelor's degree in accounting or finance.
  • At least 7 years of relevant work experience
  • Excellent Excel skills and experience creating spreadsheets, pivot tables and financial reports for a broad range of audiences.
  • Proven skills at organization and time management.
  • Demonstrated capacity to work as part of a team, as well as independently.
  • The ability to analyze organizational health and strategy through financial modeling.
  • Excellent written and oral communication skills, attention to detail, problem solver with a demonstrated capacity to meet deadlines.
  • Prior management experience preferred.
  • Grants management experience preferred.
