Your Impact

  • Support up to 8 Managing Directors.
  • Assertively manage and coordinate Outlook calendars.
  • Support Managing Directors with handling administrative tasks necessary for strategic client accounts.
  • Manage Managing Directors' business travel; confirm details and create/provide itineraries.
  • Coordinate and schedule meetings, conference calls, team events, etc.
  • Process Managing Directors' expense reports.
  • Maintain Managing Directors' Outlook contacts.
  • Create and edit presentations (PowerPoint), spreadsheets (Excel) and documents (Word) as requested.
  • Handle Managing Directors' event registrations.
  • Attend meetings as requested and take detailed and organized meeting minutes as needed.
  • Draft simple correspondence and proofread/format resumes and documents.
  • Take charge of all activities for assigned work areas and facilitate as needed to maintain a professional, safe and appropriate work environment.
  • Support other events and initiatives that impact the assigned staff.
  • Perform ad hoc tasks and projects as assigned.

What Do You Need to Succeed?

Minimum Qualifications

  • HS Diploma required.
  • 5+ years of experience providing administrative support in a fast-paced, deadline driven organization.
  • Strong organizational skills, attention to detail and commitment to quality
  • Excellent written and verbal communication skills, including strong writing and proofreading capabilities.
  • Ability to work efficiently in high-pressure situations.
  • Ability to anticipate the needs of the Managing Directors and take the initiative to provide proactive support.
  • Experience booking and coordinating travel arrangements.
  • Strong personal presentation skills and a professional, friendly and helpful demeanor at all times.
  • Excellent interpersonal skills, able to interact across all levels of the organization.
  • Ability to follow standard procedures and policies, and properly handle confidential information.
  • Self-motivated to seek new ways of adding value/supporting the firm.
  • Possess a positive, "can-do", problem-solving, go above-and-beyond attitude and approach to work.
  • Handle assignments independently, with accuracy and a sense of urgency,

Preferred Qualifications

  • Bachelor's degree highly preferred, or associate's degree and currently in pursuit of a college degree.
  • Experiencing coordinating event logistics.
