About the Department:

The Student Support and Advocacy Center is committed to providing an empowering environment for all Mason students to seek support services and explore healthy life choices. The Center offers educational programming, one-on-one consultations, and resources in the areas of sexual and interpersonal violence, financial well-being, basic needs, substance use, and collegiate recovery. Staff also assist students encountering barriers to personal success.

About the Position:

The Office Manager reports to the Associate Director for the Student Support and Advocacy Center (SSAC). The Office Manager oversees front desk operations and serves as the first point of contact for all visitors to the Center. The Office Manager is also responsible for initial email and phone communication with students and other constituents who contact SSAC. This position supervises a team of Student Office Assistants who assist with front desk operations. The Office Manager is responsible for the maintenance of SSAC's website, coordination of its social media efforts, and other technology needs.

Responsibilities:

  • Oversees all front desk operations and provides administrative support:
    • Staffs the front desk and serves as the first point of contact for all visitors to the Center;
    • Greets and assists all incoming visitors in a friendly and welcoming manner;
    • Provides compassionate navigation of campus resources to students, as needed;
    • Oversees incoming phone and e-mail communication;
    • Communicates with other SSAC staff to address incoming student needs;
    • Coordinates front desk coverage and overall operation of the front office area;
    • Attends weekly staff meetings;
    • Manages office and individual staff member calendars, and schedules appointments, as needed;
    • Participates in University workshops, meetings, and seminars to convey and/or gather information required to perform position responsibilities;
    • Develops and maintains close working relationships with a wide range of university offices and personnel;
    • Maintains confidentiality of student records per university policy, and local, state, and federal laws;
    • Provides support in the planning and execution of departmental events and initiatives, as needed; and
    • Assists the Director and Associate Director with special projects.

  • Serves as the primary SSAC website manager:
    • Responsible for routine maintenance along with proactive enhancement to meet the evolving needs of audience constituents;
    • Conducts bi-monthly meetings with staff to identify website needs and brainstorm updates to ensure up-to-date and accurate content year-round;
    • Supports specific staff with WordPress access and usage;
    • Assists with the creation, proofing, and editing of graphics and other promotional material for events and prevention efforts on social media platforms;
    • Creates and maintains the SSAC YouTube account and ensures the channel is continually active and relevant to SSAC activity and needs; and
    • Oversees all aspects of the UL Growth Student Employee Performance Evaluations via SkillSurvey for the entire SSAC staff, including overall communication, management, assignments, and launching the assessment.

  • Supervises Student Office Assistants, including their recruitment, selection, hiring, training, and evaluation.

  • Performs other related duties as assigned.

Required Qualifications:

  • High school diploma or equivalent combination of education and experience;
  • Progressive-related work experience (part-time or full-time);
  • Effective interpersonal, verbal, and written communication with a strong commitment to service philosophy;
  • Demonstrated problem-solving and analytical skills;
  • Ability to build and maintain collaborative relationships in a diverse campus community;
  • Ability to maintain confidentiality and handle sensitive issues, including interactions with students in crisis and students who experienced trauma; and
  • Ability to work in a high-paced environment with frequent interruptions.

Preferred Qualifications:

  • Bachelor's degree in a related field;
  • Demonstrated full-time work experience in a university setting within student affairs or equivalent; and
  • Knowledge of Microsoft Office suite, phone and e-mail systems, various software programs, and website and social media platforms.
