The State Highway Administration's (SHA) Administrator's Office is currently recruiting for a Special Assistant (Executive Associate I) in Baltimore City. This position is open to anyone who meets the minimum and selective qualifications listed below. This is a position specific recruitment. The resulting list of eligible candidates will be used to fill this vacancy or function only. You will need to reapply for any future recruitment conducted for this job classification.

Nature of Work: The main purpose of this position is to serve as Special Assistant to two of the executive level Chief positions (Chief Financial Officer, Chief Administrative Officer, Chief of Staff, and Chief Engineer). This position assists the two executive level Chiefs in carrying out the responsibilities of the office by independently handling various administrative, policy and technical duties. This position is the central point of communication between the Chiefs and the Senior Manager direct reports. The Senior Managers who report to the Chiefs count on this position to coordinate and maintain control over issues and communication. This position must use independent judgement to ensure business is efficiently communicated and conducted. This position requires a high level of integrity and is exposed to confidential and sensitive information daily. This position must also have excellent written and verbal communication skills and must be able to offer solutions to problems. This position must have strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. This position is also required to participate in high level special projects.

Qualifications

MINIMUM QUALIFICATIONS:

Education: Graduation from a standard high school or possession of a high school equivalency certificate.


Experience: Five (5) years of experience in secretarial work.


Selective Qualifications: Two and a half (2 ) years of the required experience must have involved providing administrative support for senior and/or executive level leadership.

Selective qualifications are utilized when the position requires specific or additional bona fide occupational qualifications (i.e., knowledge, skill, or abilities).

PREFERRED QUALIFICATIONS:

The ideal candidate will possess the following:

  • Proficient in Microsoft Word, Outlook, Access, PowerPoint, and Excel
  • Familiar with customer service databases, the Public Information Act, coordinating multiple calendars, and correspondence at an office-wide level
  • Effective oral and written communication
